🧭 Software Selection Guide

How to Choose Carpet Cleaning Software: 9 Criteria

The nine questions that actually matter when you pick order-tracking software for a carpet cleaning business, from pickup workflow to team permissions.

Start with your day, not the feature list

Most software comparisons for carpet cleaners are written by people who have never loaded a van. They rank products by how many boxes get ticked. But your day has a shape: calls in the morning, pickups before lunch, washing and drying in the afternoon, deliveries and payments at the end. If a program makes any of those links harder, the rest of its feature list is decoration.

Below are nine criteria that come straight from that daily shape. Test each one during a free trial with real jobs, not demo data, and write down your answer. The decision tends to make itself.

1. Pickup-to-delivery workflow

Every rug or piece of furniture moves through the same stages: booked for pickup, in the wash, ready, out for delivery, delivered. The software should show those stages the way you think about them, not buried under an invoicing menu. Ask:

Desktop-first programs usually fail the second and third questions. Something built for phones gives you big buttons that still work with damp hands in the back of a van.

2. Automatic customer notifications

The question you answer most often is some version of where is my rug. Good software answers it for you with a WhatsApp message at each stage. Check that:

ProTakip ships with templates for each stage, so you only choose which steps should trigger a message.

3. Caller ID that knows your customers

When the phone rings and all you see is a number, you ask the same customer for their name and address for the fifth time. Software with built-in caller identification shows the caller's name, address and last orders while the phone is still ringing, so you greet them by name and confirm rather than re-collect.

Test it properly: create a customer record, then call the office phone from that number. If the card appears with name, address and order history, and one tap starts a new order with those details filled in, the criterion is met.

4. Receipt printing on the doorstep

A printed receipt at pickup, listing piece count, sizes, price and any deposit, prevents most disputes at delivery. Make sure the software prints to a small Bluetooth thermal printer you can keep in the van. Bonus points if the same receipt can be sent by WhatsApp when the customer would rather have it on their phone. Paper gets lost; a message stays.

5. Pricing by square metre and by piece

Rugs are priced by area, runners by length, sofas and cushions by the piece. Your price list needs all three in the same order, with the area worked out from length and width so nobody reaches for a calculator. Extras such as stain treatment, fringe cleaning or protector should be line items you can add in a tap, not a note in the margin. If any of that is missing, your crew will keep quoting from memory, and quotes from memory drift.

6. Working offline in the field

Basements, rural roads and dual-SIM phones that drop mobile data the moment a call starts: none of this is unusual. The question is what the app does when the signal goes. The most sensitive point is caller identification, because on many dual-SIM phones the data connection cuts out exactly when the phone rings. The customer list therefore has to live on the phone itself, not on a server the app reaches for at that moment. ProTakip keeps its caller identification fully offline for this reason, syncing the list quietly whenever a connection is available.

7. Importing data from your old program

Years of customer records are the real switching cost, and retyping them is the reason most people stay with software they dislike. Ask one question: can I upload an Excel export from my old program and carry on? If customers, phone numbers, addresses and order history come across from that file, the switch takes an afternoon rather than a month. With ProTakip the import takes about ten minutes, and you do not retype a single record.

8. More than one brand or branch

If you trade under two names, run a second depot, or market upholstery cleaning as a separate brand, you need each brand to send messages and print receipts under its own name while every order still lands in one system. Running two separate programs means two cash registers, two customer lists and twice the mistakes.

9. Team roles and permissions

Even in a crew of three or four, not everyone should see everything. The driver needs the delivery list; the owner keeps the cash totals, the price list and the right to delete. Check that you can add staff with a simple invitation code, restrict what each person sees, and switch someone off in one tap the day they leave. Those two abilities prevent most of the data leaks and accidental deletions you would otherwise discover months later.

Pricing, trial period and support

You want to pay once your team is actually using the software, not on day one. That means the trial must be long enough to run real jobs through it, including a busy week. Ask, too, where a question goes at seven in the evening when a receipt will not print. Support inside the app, answered by people who know the trade, is worth more than a thick help centre.

ProTakip is free for the first three months and moves to a monthly subscription after that. It runs on Android and iPhone and is available in 26 languages, which matters more than it sounds if your crew does not all share a first language.

Decision checklist

  1. Did you see today's pickups and deliveries on one screen?
  2. Did the received and ready messages reach a test customer automatically?
  3. When you called the office phone, did the caller's name and address appear?
  4. Did you print a receipt from a Bluetooth printer in the van?
  5. Did one order combine square-metre and per-piece pricing?
  6. Did caller identification still work with mobile data switched off?
  7. Did you import an Excel export from your old program?
  8. Did you add a staff member and limit what they can see?
  9. Did your team enter real jobs for at least a week of the trial?
